Outlook Email Filter

A Non-Broadcom Address Alert has been added to Outlook to alert the user when an email is being sent with more than one non-Broadcom address contained in any of the address fields. The purpose of this alert is to prevent unwanted sharing of Broadcom proprietary information with non-Broadcom personnel. The Email Filter facilitates the management of non-Broadcom email addresses, allowing the user to bypass the Non-Broadcom Address Alert by placing selected recipients into a Safe List.

The Email Filter Toolbar

The Email Filter toolbar appears when Outlook is launched, and may remain open while Outlook is in use. The toolbar may also be closed while Outlook is in use. To reopen the Email Filter toolbar, go to the View menu, then choose Toolbars | Email Filter.

The Email Filter toolbar is shown below. See the sections, Safe List and Search Contacts for information on using the toolbar functions.

The Non-Broadcom Address Alert

The Non-Broadcom Address Alert will appear whenever an email being sent or replyed to has more than one non-Broadcom address contained in any of the address fields. This is especially important when the address field contains a list, and the individual recipients are hidden. Entering those addresses into the Safe List will prevent the alert message from appearing. The Non-Broadcom Address Alert helps to prevent proprietary information from reaching non-Broadcom presonnel, so it is recommended that discretion is used when placing these recipients in the Safe List.

The Non-Broadcom Address Alert is shown below. See the section, Non-Broadcom Address Alert for information on sending emails with non-Broadcom addresses, and using the alert to add addresses to the Safe List.

 

Adding Addresses to the Safe List

There are three vehicles for adding addresses to the Safe List:

  • Safe List. Use the Safe List button on the toolbar to manually enter non-Broadcom email addresses.
  • Search Contacts. Use the Search Contacts button on the toolbar to add non-Broadcom email addresses from the Outlook Address Book "Contacts" list.
  • Non-Broadcom Address Alert. Use the alert prompt to select and add non-Broadcom email addresses.

Safe List

Non-Broadcom email addresses can be manually added to or removed from the Safe List via the Safe List toolbar button. To manually add an address to the Safe List:

  1. Click Safe List in the Email Filter toolbar. The Manage Safe List dialog box appears.
  2. Type the address in the Enter email address box.
  3. Click Add. The email address appears in the Safe List box. Repeat steps 1 through 3 to add additional names.
  4. Click OK.

To remove an address from the Safe List:

  1. Click Safe List in the Email Filter toolbar. The Manage Safe List window appears.
  2. Click the address in the Safe List box.
  3. Click Remove. The email address is removed from the Safe List.

To clear the Safe List and remove all addresses, open the Manage Safe List window, then click Remove All.

Search Contacts

The Search Contacts function allows the user to find contacts listed in the Outlook Address Book "Contacts" folder and add them to the Safe List. To add addresses using the Search Contacts function:

  1. Click Search Contacts in the Email Filter toolbar. The Search Contacts dialog box appears.
  2. Type the contact name in the Enter Name box.
  3. Click Search. The email address appears in the Select Contacts box. Repeat steps 1 through 3 to add additional names.
  4. Highlight an address in the Select Contacts box, or hold Ctrl + click multiple addresses.
  5. Click >> to move the selected address(es) to the right column.
  6. Click Add. All addresses in the right column are added to the Safe List.

To remove an address from the Select Contacts box, highlight the address, then click Remove. To remove all of the addresses from the Select Contacts box, click Remove All. Click << to move an address from the right column to the Select Contacts box.

Non-Broadcom Address Alert

When replying to an email that contains more than one non-Broadcom email address, the Non-Broadcom Address Alert prompt appears, listing all non-Broadcom email addresses not previously entered into the Safe List.

Click OK to send the email without adding the listed addresses to the Safe List. To send the email and add the non-Broadcom email addresses to the Safe List:

  1. Check the individual addresses that you wish to add to the Safe List.
  2. Click Add & Send. The email is sent, and the addresses are now entered into the Safe List.
